Team & Access
Company-wide accounts only — HR, Director of Operations, Admin and any other role that is not tied to one specific venue. Management, Employee and Rota Master logins belong to a venue's own roster instead, so they are added and edited from the person's own Account access section on that venue's Employees tab, not here.
Countries
The fixed list a venue's Country field is picked from — the venue picker splits into a labelled section per country whenever the venues someone has access to span more than one. Each country's own "First day of week" sets which day its rota, holidays and schedule treat as day one (Monday everywhere by default) — set it independently for a country with a different working week, e.g. Sunday for Qatar or the UAE.
Roles
Decide exactly what each role can see and do, then assign it to anyone from the Employees tab. Admin and Employee always exist — everything else is yours to create, rename or remove.
Built-in
Your roles
Granting account access itself — creating a login, resetting a password, turning access on or off — stays Admin-only no matter which role someone has. Roles decide what a signed-in person can DO, never who can sign other people in.
Rota — editable departments
Granting account access itself always stays Admin-only, whatever this role can do.
Settings
Position Categories
Department groups
Home, Rota and the Grid organize your team into three fixed groups — Management, Front of House and Back of House. Say which of your own categories above belongs to each; anything you leave unset is guessed from its name (Kitchen-like categories go to Back of House, Management-like ones to Management, everything else to Front of House).
Positions
Shift Statuses
Sick, Late, Off, Public Holiday, Holiday and Unpaid are always available. Add your own for anything else this venue needs to mark on a shift — Worked day, Day off, and so on. Like the built-in ones (besides Working and Late), a custom status is a day-level note with no start/end time and isn't counted as worked hours. A new one can also appear here on its own — Rota → "Import leave plan…" adds one automatically the first time it sees a leave type it doesn't already recognize (e.g. Paternity Leave), so it's ready to rename or restyle without you having to add it by hand first.
Kitchen sections
Pizza, Grill, Pastry — whatever sections this kitchen runs. This just sets the list; you assign a section to a chef when you edit their shift on the Rota, since who covers what changes week to week.
Rota manager
The one person notified whenever a team member submits a time-off request for this venue.
Lunch / Dinner cutoff
Shifts starting before this time are counted as Lunch on the Rota grid; at or after, Dinner.
Rota visibility
Management and HR always see the full week's schedule read-only when they're not actively editing it. Employees never see anyone else's shifts — this is the only thing that changes that.
Timezone
This venue's own local timezone — used to work out when to send a "shift starting soon" reminder (Employees → Shift-start reminder) at the right real-world moment, whatever timezone this device or the server is in. Type the city-based name for this venue, e.g. America/Montevideo, Asia/Dubai, Europe/Rome.
Annual holiday allowance
How many paid holiday days each employee at this venue gets per year — set this once here to match whatever this country's labour law requires; every venue keeps its own number. This is what the Holidays tab's balance bars, "days left" and countdown all calculate against.
days / year
Working days per week
How many days a week this venue's team works — used to work out the per-day figure under Home → "Avg hours / employee / week" (that used to assume 6 days for every venue; now every venue keeps its own number).
days / week
Shift code mapping
How the codes in your weekly Excel rota translate into shifts here — a Shift code gets a start/end time, a Split code covers two separate shifts the same day (e.g. a 10am–3pm then a 7pm–12:30am), a Status code (Off, Holiday, Sick…) has none, and Skip means "recognized, but never imported" (e.g. an on-call marker, or a note that someone's rota'd at a different venue that week). Pre-filled from your usual template; edit anything below to match how you actually use it.

Upload the actual weekly file from the Rota tab — look for "Import rota…" next to Schedule time off. For a whole year's approved leave in one go (an HR export with Employee Name / Leave Type / Leave Start Date / Leave End Date / Leave Status columns), use "Import leave plan…" right next to it instead — no mapping to set up here, it recognizes Annual Leave and Unpaid Leave on its own and adds a new status automatically for anything else.
Rota import format overrides
The mapping above is this venue's default. Not every rota file looks the same, though — a Kitchen rota can be laid out completely differently from Front of House, and an outlet with its own separate rota is often a different template again. Add an override below to give one outlet, one department, or a specific outlet+department combination its own file layout (which sheet, which row/column the grid starts at, one column per day vs Lunch/Dinner pairs…) and, if it uses different codes too, its own code mapping.
Company-wide accounts
Management, Employee and Rota Master logins are managed from the person's own Account access section, right on their venue's Employees tab. Head there for those — this screen is for HR, Director of Operations, Admin and the company-wide Country list, none of which belong to one specific venue's roster.
Account-setup email
Sent automatically when Admin turns on Account access for someone and leaves the password field blank — it lets that person set their own password instead of being handed one. Edit the subject and body below; {{name}}, {{email}}, {{venueName}} and {{link}} are filled in for each person, and {{link}} must appear somewhere in the body or the email won't make sense.
